Privacy Notice for the Policy Profession website

Who we are

This data processing is being carried out by the Policy Profession Unit – a cross-government unit under the umbrella of the Department for Education (DfE). For the purpose of data protection legislation, DfE is the data controller for the personal data processed as part of the Policy Profession website and Connect Internet Solutions Ltd are our data processor.

How we will use your information

We receive your personal data from the sign up process for the website. The submission of personal data is entirely voluntary and will only be for access to the site and communications related to the site.

Users will also be able to opt into displaying their information on the website’s user directory and interactive map. This data will be used to grow communities. Users can choose to opt out at any time.

The aim of the site is to improve policy capabilities via better communication of learning and development opportunities, delivery of tools and guidance for policy making and by building cross-departmental and cross-regional communities.

It will allow the development of better policy making and the promotion of best practice - benefitting policy makers.

The nature of your personal data we will be using

The categories of personal data for this project are:

  • your full name
  • email address
  • department
  • grade
  • profession
  • UK region

There is an optional choice to submit the following for a staff directory and map to illustrate where policy makers are based and help them build connections:

  • job title
  • team/directorate
  • telephone number
  • policy areas

If you chose to opt out of having your details displayed on the directory and map there will be no personal data displayed.

Why our use of your personal data is lawful

For our use of your personal data to be lawful, we need to meet one (or more) conditions in the data protection legislation. For the purpose of this project, the relevant condition is:

  • Article 6(1)(a) that you have given your consent

Who we will make your personal data available to

For the purpose of this project, we will not be transferring data to other organisations who are not contracted to support the development of the website. The personal data collected will be voluntarily given to the Policy Profession Unit for access to the policy intranet and our only contractor/processor is Connect Internet Solutions Ltd.

How long we will keep your personal data

DfE will keep your personal data as part of the Policy Profession website until you delete your account, or until the account has been inactive for three years. We will review your details annually.
